Boards and agents

Set out for
the board.

The managing agent gathers the quotes, the board approves the spend and the residents live with the result. Paul walks the site with the agent or a director and sets the work out in writing so all three can follow it.

Site visit

What the
site visit covers.

Surface and base

Potholes, cracking, failed patches and soft or sunken areas.

Water

Where it lies after rain, gully condition, and whether the falls still work.

Kerbs and ironwork

Broken kerbs, dished crossings, and covers that rock or sit out of level.

How it is used

Parking numbers, bin and delivery times, and emergency access.

Residents

Phasing plan and notice

Before the start, the agent gets a phasing plan showing which part of the car park or road closes on which day.

  • Residents keep as many spaces as the layout allows.
  • Emergency, refuse and mobility access planned in advance.
  • A plain notice drafted for the agent to send: dates, sections, contact number.

Budget

Sinking fund timing

Surfacing is usually paid from the sinking fund agreed at the AGM. A priced scope before the budget is set gives the board a real figure.

  • Survey in autumn or winter, work in the drier months.
  • Work ranked by urgency if the budget will not cover it all.
  • Failing areas first, the rest when the fund allows.

The quote

A quote that
compares.

Area in square metresWhether every quote is pricing the same ground
Overlay or plane and relayWhether levels at kerbs and doors are kept
Base to be rebuiltWhether failed areas are fixed or covered over
Layers and thicknessBinder and SMA wearing course, machine-laid
Kerbs, gullies and ironworkWhat is put right at the edges and drains
ExclusionsAnything not included, named

A board can then see whether a cheaper quote is cheaper because it does less.

Common Questions

Common questions.

Who is responsible for an estate road or apartment car park?+

If the council has not taken the estate in charge, the shared roads, paths and car parks are usually the owners' responsibility through the management company. Check the title documents or ask your agent; this is general information, not legal advice.

Can directors speak to Paul directly?+

Yes. Day-to-day contact can run through the agent, and directors can put questions to Paul at any stage.
